End a tenancy and record a departure

To record a tenant’s departure, go to the “Tenancies” section and click on the “End Tenancy” option on the right. Fill in the required details such as the departure date, security deposit to be returned, final rent receipt, and new address, then click “Save”.

Once the departure is registered, the website will deactivate the tenancy and stop generating rents. The end date of the tenancy will be updated to match the departure date. You will then be able to archive the tenancy.

A line for the return of the security deposit will be generated (if the corresponding fields have been filled out).

If you deactivate the tenancy late, it will be necessary to manually delete the rents already generated in the “Finances” section.

Attention!

Deleting the tenancy will remove all associated financial transactions.

It is advisable not to delete tenancies, but to archive them instead.

Remember to create a new tenancy for each new tenant. Do not modify an already existing tenancy.

Last rent

The last rent, if partial, should be created manually or entered in the “End Tenancy” form.

If the rent has already been recorded in the “Finances” section, you can modify the corresponding line by adjusting the dates and amounts, and then save the changes. Otherwise, you can create a new revenue entry.

Here is the formula for calculating a partial rent: Monthly rent / Number of days in the month x Number of days of occupation.

Replacing a housemate

To replace a housemate, go to the “Tenancies” section, click on “Edit”, remove the departing tenant, add the new tenant, and click “Save”.

The new tenant will appear on future rents and receipts.

Last Rent Receipt

You can create the last rent receipt from the “End Tenancy” form.

You also have the option to manually create or modify the last rent receipt from the “Finances” section.

  • If the rent has already been generated, simply modify the due date.
  • If the rent has not yet been generated, create a corresponding income entry.

For free account holders

To avoid exceeding the limits of a free account, you may choose to permanently delete the tenancy. However, please note that deleting a tenancy will remove all associated financial history.

Deposit

At the end of the tenancy, the tenant asks the landlord (or the letting agency) for the deposit, which may not be returned in full in case the tenant owes previous rents or damage to the property or furniture. This should not apply to ‘reasonable wear and tear’.

The deposit should be returned to the tenant within 10 days of agreeing on the amount, but this can take longer in case of disagreement. Remember, there are normally free dispute resolution services linked to the tenancy deposit protection scheme if the deposit is protected.
